Convert recurring complaints into a product review list | Timestripe

A support dashboard reports how the week went. It shows how many conversations closed and how satisfied people were, and neither number tells a product team what to build next.

The signal worth having is repetition, and it is hard to see because customers describing the same problem rarely use the same words.

Ask your agent to read the week's closed conversations and group them by what actually went wrong.

What the agent starts with

Everything is on one board in Timestripe. Closed holds the conversations finished in the last seven days, and each card's description is the whole exchange with the customer.

Three problems come up more than once across that week, and each is described differently every time it appears. One customer writes about a report coming out empty, another about a download with nothing in it, a third about a spreadsheet with only headers. Grouped by phrasing they are three separate complaints, and grouped by cause they are one.

The findings go to a second column, so the conversations themselves stay closed and unchanged.

The prompt

Copied

Asking for the clearest conversations rather than the angriest is worth being explicit about. The loudest ticket is usually the one that explains the problem least well, and a review list is read by people deciding what to fix, not what to apologise for.

What comes back

Three goals appear in Product review on the Support board, each with a count, who was affected, what the problem cost them, and three conversations to read if you want the detail. The empty report, the download with nothing in it and the spreadsheet with only headers arrive as one item rather than three.

The ranking uses frequency and impact together, and the agent says which of the two put each item where it is. That matters when a theme with four mentions sits above one with nine, because the reader can see the reasoning instead of assuming the list is sorted by volume.
