From Chaos to System: A Team Transformation Case Study

Prodlyonka is a Moscow-based community that creates “childhood-like” adventures exclusively for adults. Since 2021, this team of friends has been bringing together 50 to 100 participants twice a year for five-day summer camp escapes into genuine carefree childhood: with loud games, parties, performances, and authentic friendships. They create a safe and open space for anyone wanting to take a break from work and make new friends.

The community gradually expanded. Beyond summer camps, Prodlyonka started hosting parties, workshops, and corporate events for major companies including Avito, one of Russia’s largest classified advertisements platforms. The team also grew: from 4 founders in 2021 to 20 people handling operations today across multiple countries.

This growth created the need for a convenient service with a calendar and system for organizing information and tasks. The team needed to plan both immediate events and those happening a year out, while always keeping main goals and milestones in focus. That’s why Prodlyonka joined Timestripe in April 2025.

International Scaling: Managing Teams Across 5 Countries

Our transformation from a local Moscow initiative to an international operation required robust project management solutions. Today, our distributed team spans across Russia, Serbia, Germany, Italy, and France, making asynchronous collaboration tools essential for our success.

How you started using your space?

We jumped into the service with a specific request: we needed to organize a camp session for 100 employees from Avito, the largest private classifieds service in Russia. This corporate partnership required us to adapt our usual camp format to serve a tech company’s team-building needs while maintaining our core “childhood adventure” philosophy.

This meant coordinating our team’s work across several areas:

  • Client communication and evaluation processes
  • Developing and approving a 2-day camp program with disaster management protocols
  • Purchasing props and necessary materials
  • Managing remote team productivity metrics

Beyond our core team, we’re always searching for team leaders within the camp, photographers, technical specialists, DJs, and more. Different people handle each task, but everyone needs to be synchronized in their work and have access to all project information through our best online collaboration tools.

What’s usually the main challenge in your work?

Part of our team lives in different corners of the world, and another part has their own projects, so the main challenge is synchronizing a 20-person team so all tasks get done on time. Hybrid team management became crucial when we started scaling internationally.

Sure, we have dozens of messenger chats, but we can’t rely on them alone because a lot gets lost and unfixed in conversations. Asynchronous communication tools became essential for our success. So we made a rule: document all meetings, calls, and key project documents in boards and calendar using our team planning software.

Here are our key tips for managing a remote team effectively:

  • Establish clear documentation protocols
  • Use project planning templates for consistency
  • Implement regular check-ins across time zones
  • Maintain centralized information hubs

Planning for Hybrid Teams in 2025

Working with distributed teams taught us that traditional planning methods don't work for modern, flexible organizations. Our approach combines:

  • Asynchronous Planning Workflows: Team members contribute to project plans regardless of their time zone, ensuring everyone's input is captured and evaluated.
  • Flexibility with Structure: Our project planning templates provide consistency while allowing for creative adaptation based on local culture and participant needs.

Is there a difference between organizing camps with individual ticket sales VS corporate ones?

Our main talent is that we really love making friends. This simple value is what gives meaning to everything, regardless of which project we take on.

Working with companies like Avito taught us that introducing 100 strangers versus 100 colleagues over several days requires different contexts and decision-making approaches. We factor this into each day’s event programming, but the core principles remain: safe and horizontal communication that we moderate.

For corporate clients, we adapt our approach by:

  • Incorporating team-building elements that align with business objectives
  • Using evaluation frameworks that measure both engagement and professional development
  • Applying disaster management protocols for larger, more complex events
  • Integrating feedback loops that serve both individual growth and organizational goals

Results and Future Growth

As we can see from our community, our approach works. Since 2021, we’ve gathered a large network of friends worldwide. Many keep coming back, participants connect with each other, start traveling together, create joint projects and collaborations, continuing friendships beyond Prodlyonka.
