Meet GTD

  • 👉 GTD or Getting Things Done is a framework created by David Allen. It is used for organizing and tracking tasks that helps you focus on things your really need to do, manage your time and energy.
  • In order to use GTD methodology to need to take the following steps:
  • 2. Capture your tasks and ideas in Inbox
  • 3. Clarify items in your Inbox at your Weekly Review
  • 1. Organize your Planning System
  • 4. Engage. Actually do the tasks :)

System

  • 🗂️ Create an environment to start using GTD framework. You'll add content in the next step.
  • Inbox for everything you want to accomplish in the near or distant future. It includes ideas, dreams, goals, messages, paperwork.
  • Project. A task that requires >2 things to do. The name of the project should start with a verb, the tasks should be as specific as possible. There might be as many projects as you need.
  • "Waiting on" list for delegated tasks.
  • Calendar to schedule when your are going to complete the task.
  • "Someday/maybe" list
  • "Reference" list for things important to have in the future.

Inbox

  • 🧠 Write down everything that comes to your mind. This step is pretty easy, but take your time, don't rush through it.
  • Keep your Inbox simple. Otherwide you might forget to check out something.
  • You can use two types of Inboxes, one for physical object and the list of tasks on your mobile phone

Weekly Review

  • If the task is actionable and it requires more that 2 actions to complete, it is a project.
  • Then define the context of each task that you have.
  • For example, if you need to buy groceries, cosmetics and medicines during the week, then you can call the context Errands.
  • Put actionable tasks you have in your Calendar. Use the context to do similar things at the same day or part of the day.
  • As in example above, complete all the Errands tasks on a specific day, so you do not go shopping 3 times during the week.
  • If there is something you can delegate, put to "Waiting on" list.
  • If the task is actionable and <2 mins — do it right away.
  • Organize regular and consistent review of your Inbox and your planning system.
  • If it's not actionable, it means you don't have to do something about it. You can trash it, add to "Someday/maybe list" or "Reference"
  • ⚙️ At the Weekly Review you clarify what you need to with all the things added to the Inbox. Choose specific day on a week to review and make sure you are not missing something.
